1. Scope and responsibility

Livespace Furniture is responsible for personal information it controls in connection with this website and its customer operations. We aim to handle personal information consistently with the Kenya Data Protection Act, 2019 and other applicable data-protection requirements.

This policy does not control independent third-party websites or services that you choose to use.

2. Information we may collect

  • name, phone number, email address and delivery location;
  • company, institution, billing or procurement details;
  • products, quantities, cart, order, quotation and enquiry information;
  • account login and account-preference information;
  • messages, RFQ references, notes and files you submit;
  • payment confirmation or transaction references where needed, but not your online-banking password or PIN;
  • technical data such as device, browser, approximate location, IP address, cookies and website interaction data.

3. Where information comes from

Most information is provided directly by you when you browse, create an account, contact us, request a quotation, place an order or interact through a linked service such as WhatsApp. Technical information can also be generated automatically by the website and analytics/security services.

4. How we use personal information

  • respond to product questions and enquiries;
  • prepare quotations and process orders;
  • confirm payment, stock, delivery and collection;
  • provide customer service, returns and product support;
  • maintain customer accounts and order history;
  • protect the site against fraud, abuse and security threats;
  • measure website performance and improve product discovery;
  • meet legal, tax, accounting or record-keeping obligations;
  • send marketing where permitted and where applicable preferences allow it.

5. Reasons for processing

Depending on the activity, information may be processed because it is necessary to take steps requested by you or perform an order, because we have a legitimate business or security need, because the law requires it, or because you have given consent where consent is the appropriate basis.

6. Orders, quotations and customer service records

Order and quotation records can contain product lists, addresses, contact details, payment references and correspondence. We keep enough information to fulfil the transaction, support the customer, reconcile records and meet legitimate accounting or legal needs.

7. Files uploaded with an RFQ or enquiry

Documents and images uploaded through the quotation system are used to understand and respond to the requirement. Only upload information relevant to the furniture request. Do not upload passwords, card PINs, security codes or unnecessary identity documents.

8. Analytics, advertising and conversion measurement

The website may use analytics, advertising or measurement services such as Google tools or Meta technologies to understand visits, product interactions and completed actions. Depending on the configuration and your browser/consent settings, these providers may receive device, cookie and event information.

Advertising and analytics services operate under their own privacy terms as independent providers for the data they control.

9. Cookies and similar technologies

Cookies and local storage can be used for essential functions such as sessions, cart state and security, and for preferences, analytics or advertising measurement where applicable. Browser controls can restrict cookies, but blocking essential cookies may affect checkout, account or cart functionality.

10. When information may be shared

We may share only what is reasonably required with service providers involved in hosting, email, website security, payments, accounting, analytics, delivery, courier services, customer communication or other operational support. We may also disclose information where legally required or necessary to protect legal rights and security.

We do not sell customer personal information to advertisers.

11. Providers operating outside Kenya

Some technology providers may process or store data in other countries. Where cross-border processing occurs, we aim to use reputable providers and appropriate contractual or legal safeguards where required.

12. How long information is kept

We keep personal information for as long as reasonably necessary for the purpose collected, customer support, warranty/return history, security, accounting, tax, dispute or legal requirements. Different records can have different retention periods.

Information that no longer needs to be retained should be deleted, anonymised or securely archived where appropriate.

13. Security

Reasonable technical and organisational measures are used to protect website and customer information. No internet system is risk-free, so customers should also use strong passwords, protect devices and verify unexpected payment or account messages.

14. Your data rights

Subject to applicable law and appropriate verification, you may have rights to ask whether we hold personal information about you, request access or correction, object to or restrict certain processing, request deletion where applicable, or withdraw consent where processing is based on consent.

Send privacy requests to livespacefurniture@gmail.com. We may need enough information to verify the request and locate the relevant records.

15. Children's information

The website is intended for customers purchasing furniture and is not designed to knowingly collect personal information from children. If you believe a child has submitted personal information unnecessarily, contact us so it can be reviewed.
